Part 1: Why Automate Employee Pulse Surveys

The annual employee engagement survey is one of the most fundamentally broken processes in HR. The pipeline:

Weekly trigger (Thursday 10am, captures end-of-week sentiment)

→ Collect responses over 48 hours (closes Saturday midnight)
→ Sunday night: aggregate all responses
→ Claude synthesizes: company-wide trends, team-level trends, topic clusters

→ Generate: company summary for HR, team reports for each manager
→ Monday 7am: deliver company summary to HR and leadership
→ Monday 7am: deliver team reports to each manager (their team only)
→ Flag any responses containing distress signals for immediate HR review

The pulse survey design:

Three questions, rotating weekly from a bank of 12 questions. Never the same three questions two weeks in a row, prevents response fatigue and auto-piloting.

One of the three weekly questions is always an optional open-text question: "Anything else on your mind this week? (optional)" The open-text responses are the richest data in the survey, AI analysis of free-text responses identifies themes, sentiment trajectories, and specific concerns that structured questions miss.

The Slack delivery:

The survey arrives as a Slack DM from the HR bot. It includes the three questions with button responses (for scored questions) and a text input (for the open question). Response takes under 60 seconds.

For employees who have not responded by Friday at noon, the bot sends one gentle reminder: "Quick reminder, your weekly pulse takes less than a minute. Your feedback helps your manager support you better."

The Claude synthesis:

Claude receives all survey responses for the week, organized by team and question. It generates three outputs:

Company-wide summary (for HR and leadership): overall sentiment score (average of all scored questions), week-over-week trend, and the 3-5 most significant themes from open-text responses. Flags any metrics that have declined 10%+ from the previous week.

Team reports (for each manager): their team's scores vs. company average, week-over-week trends for their team, open-text themes from their team's responses, and recommended conversation topics for 1:1s this week. Does not include any individually identifiable responses, all data is aggregated.

Distress flag report (for HR only): any open-text responses containing language that may indicate serious distress, harassment, safety concerns, or urgent HR matters. These are flagged immediately, not held for the Monday report.
